The deal team should freeze a packet with document IDs, dates, versions, owners, and access classes. A practical order is:

  1. Latest client instructions, approved management materials, VDR documents, and process communications.
  2. The controlling model, named by workbook version, scenario, and information cutoff.
  3. Regulatory filings, releases, investor presentations, and other primary public records.
  4. Entitled market data, estimates, transactions, broker research, and expert material.
  5. Prior internal work product that the team has approved for reuse on the mandate.
  6. Banker judgments and client assumptions, labeled separately from reported facts and calculated outputs.

This order controls workflow and permissions. It is not a shortcut for deciding which evidence is most reliable. Management, seller, and VDR materials can drive the mandate while still requiring qualification as unaudited, preliminary, pro forma, non-GAAP, or assumption-led. When two sources conflict, record both values, name the decision owner, and preserve the reason one value controls the page.

NIST AI 600-1 recommends recording source and model versions, human oversight, rights considerations, and citation checks. Those fields give the deal team a reconstructible run record and fit naturally beside the Data Room register.

Use Document Search to build the page evidence list

This contract prevents a polished layout from becoming a substitute for an argument. It also gives AllMind a precise drafting brief. For a greenfield deck, generate against the full page contract. For an existing-deck refresh, begin with an impact map. Tie sources, Excel, and PowerPoint together

A source-linked draft still needs source-to-model-to-slide reconciliation. Preserve this lineage for every material number:

  • Data Room document or licensed field, including passage, period, and as-of date.
  • Workbook version, tab, cell or range, scenario, and model owner.
  • Transformation, unit conversion, rounding, or chart selection.
  • PowerPoint page, object, master, layout, and generated-file version.
  • Object state: linked, embedded, pasted as static content, or manually entered.

Microsoft documents the practical mechanics for linking and updating Excel data in PowerPoint. It distinguishes linked, embedded, editable, picture, and text-only treatments. Microsoft also explains how a moved source can create a broken PowerPoint link. Record the chosen object state, test link health, and confirm that the destination file contains only the information intended for its recipients.

Reconcile the narrative alongside the numbers. If a valuation range moves, confirm that the summary, chart title, body labels, appendix, and recommended action all reflect the same case. For every chart, check title, axes, units, scale, legend, series, labels, source, as-of date, and the takeaway sentence against the plotted direction.

Run three banker gates before circulation

Gate 1: technical source and model review

Open every material citation and reconcile calculated or estimated values to the controlling model. Check entity, period, currency, scale, share count, scenario, rounding, and metric definition. Compare every repeated value across the deck. A source footnote is complete when it identifies the source, date or period, data class, and any qualification that changes interpretation.

Gate 2: senior-banker story review

The senior reviewer tests whether the opening pages can be presented without extra verbal scaffolding. The mandate, page headlines, analysis, objections, and recommended action must form one consistent story. Client objectives, model outputs, seller or management claims, and banker judgment should remain visibly distinct.

For FINRA member firms, Rule 3110 requires a reasonably designed supervisory system and written procedures, including review provisions related to investment-banking and securities business. Regulatory Notice 24-09 explains that existing obligations continue when member firms use generative AI, including third-party technology.

Gate 3: final circulation and records review

Confirm recipients, confidentiality markings, permissions, hidden slides, notes, comments, links, attachments, disclosures, page numbers, footnotes, generated-file version, and approval state. Save the required package under firm policy.

Where FINRA Rule 2210 applies, its recordkeeping provisions include the communication, dates of use, preparer or approver information, and the source of statistical tables, charts, graphs, or illustrations. Classification depends on the member, content, actual recipients, and distribution. The team's review process should determine whether a file is correspondence, an institutional communication, a retail communication, or handled under another applicable firm procedure.
